Privacy Policy
Last updated: May 2026
Epic Trail Adventures, LLC ("we," "us," or "our") respects your privacy. This policy explains what information we collect when you use our website at epictrailadventures.com, book an expedition, or otherwise interact with us, and how we use, share, and protect it.
1. Information We Collect
We collect information you provide directly to us, including:
- Account & booking information. Name, email address, phone number, emergency contact, dietary restrictions, medical disclosures relevant to your safety on a guided trip, and trip preferences.
- Payment information. Card payments are processed by Stripe. We never see or store full card numbers, CVCs, or bank credentials. We retain a transaction id, the last four digits of the card, the amount, and the date.
- Communications. The contents of emails, form submissions, and chat messages you send us.
- Automatically collected data. IP address, device and browser type, pages viewed, referring URL, and timestamps, gathered through cookies and similar technology.
2. How We Use Your Information
- To process bookings, send confirmations and receipts, and provide trip logistics.
- To respond to inquiries and provide customer support.
- To ensure your safety in the field (medical disclosures, emergency contacts).
- To send service emails about your booking and, with your consent, occasional marketing emails. You can opt out of marketing at any time using the unsubscribe link.
- To detect, prevent, and address fraud, abuse, or security issues.
- To comply with legal obligations and enforce our agreements.
3. Service Providers We Share Data With
We share the minimum information necessary with trusted vendors that help us run our business. These providers are bound by contract to use your information only for the services they provide to us:
- Stripe: payment processing.
- Supabase: database and authentication hosting.
- Resend: transactional email delivery.
- Google: productivity tools and Drive storage for trip photos.
- Replit: application hosting infrastructure.
We do not sell your personal information, and we do not share it with advertisers or data brokers.
4. Cookies & Analytics
We use a small number of cookies to keep you signed in, remember your cart, and understand how visitors use the site at an aggregate level. You can disable cookies in your browser settings; some site features (sign-in, checkout) require cookies to function.
5. Data Retention
We keep booking records for at least seven years to comply with tax and accounting obligations. We keep account information for as long as you maintain an account with us. You can request deletion of your account and associated personal data at any time (see Section 7).
6. Security
We protect your information with industry-standard practices: TLS encryption in transit, encrypted data storage, scoped database access, and least-privilege credentials for our staff. No system is perfectly secure, however, and we cannot guarantee absolute security.
7. Your Rights
Depending on where you live, you may have the right to access, correct, delete, or export your personal information, and to opt out of certain processing. To exercise any of these rights, email us at hello@epictrailadventures.com and we will respond within 30 days.
8. Children
Our services are not directed to children under 13, and we do not knowingly collect personal information from them. Minors on our expeditions must be booked by a parent or legal guardian.
9. Changes to This Policy
We may update this policy from time to time. When we make material changes, we will post the new policy here and update the "Last updated" date above. Continued use of the site after changes take effect constitutes acceptance of the revised policy.
